This Acceptable Use Policy (“AUP”) is part of the dentdial Terms of Service. By using the Service, you and your authorised users agree to follow it.
1. Lawful use
You will use the Service only for lawful purposes related to operating a dental practice. You will comply with all applicable laws and regulations, including UK GDPR, the Data Protection Act 2018, PECR, the Equality Act 2010, and the standards of the General Dental Council, Care Quality Commission, Information Commissioner’s Office and Advertising Standards Authority.
2. Prohibited content & conduct
You will not use the Service to:
- Send unsolicited marketing calls or SMS without a lawful basis under PECR.
- Misrepresent the practice, the clinician or the nature of the call (e.g. impersonating an NHS body or a regulator).
- Provide clinical advice, diagnosis or treatment recommendations through the Service. The Service is a reception layer, not a clinician.
- Capture or process data for purposes the patient has not been informed of.
- Harass, intimidate or threaten any person, or facilitate stalking or domestic abuse.
- Discriminate against any person on the basis of a protected characteristic.
- Process data of children under 13 through patient registration flows without an appropriate adult workflow.
- Upload or transmit malicious code, conduct security testing without our written permission, or interfere with the operation of the Service.
- Reverse engineer, scrape, or extract the underlying models, prompts or training data of the Service.
- Resell, sublicense or white-label the Service without our prior written agreement.
- Use the Service to compete with us or to build a competing product.
3. Calls & telecoms compliance
You are responsible for compliance with telecoms regulations applicable to your use, including but not limited to: PECR rules on consent and the Telephone Preference Service (TPS) for outbound marketing; Ofcom requirements on caller line identification; rules on call recording disclosure. dentdial provides recording disclosures by default; you must not configure the Service to bypass them.
4. AI outputs
AI-generated outputs (transcripts, summaries, triage labels, suggested actions) are tools to assist staff, not authoritative records. You are responsible for human review of clinically significant outputs before acting on them. The Service must not be configured to make a clinical decision without human oversight.
5. Voice cloning
If you opt to clone the voice of a member of your team, you must have that person’s written consent. You must not use the Service to clone the voice of any person without their consent, or to impersonate any third party.
6. Fair use
Call volumes on each plan are set generously to cover typical practice patterns. Sustained patterns of use materially above the plan limit may be limited at our discretion, in which case we will discuss a plan change with you before any service impact.
7. Reporting abuse
If you believe the Service is being misused — by you, your staff, or a third party impersonating dentdial — report it to our contact form. We investigate every report.
8. Consequences of breach
We may, at our reasonable discretion, warn you, restrict features, suspend the Service or terminate this contract for breach of this AUP. Where the breach poses immediate risk to patients, other users or the integrity of the Service, we may suspend immediately and discuss afterwards.
9. Changes
We may amend this AUP from time to time, particularly as regulation evolves. Material changes will be notified to customers by email with at least 30 days’ notice.
